We normalize your four drinker-mix percentages so they always sum to 100%, then apply the "1 drink per person per hour" rate only to drinking guests (wine + beer + spirits) for the full event duration — non-drinkers are tracked separately for soft drinks.

The "1 drink per person per hour" figure is a standard event-planning rule of thumb: guests typically drink a little more in the first hour and a little less as the night goes on, so treat it as a solid baseline rather than a hard limit. When in doubt, round up — running out of drinks is far worse than having a few unopened bottles left over.

Your four mix percentages are normalised against their own sum first, so they never have to add up to 100. Total drinks is guests × the drinking share × hours × drinks per person per hour, then split between wine, beer and spirits in proportion. Purchases come from fixed yields: five glasses per 750 ml wine bottle, seventeen servings per 750 ml spirits bottle, twenty-four beers to a case, and 1.25 lb of ice per guest.

Guest count, event length and the rate all multiply together, so the defaults — 100 guests, 5 hours, 1 drink per person per hour — already imply 425 drinks once the 15 percent non-drinker share is removed. The mix percentages decide how that total is split across the shopping list rather than changing the total itself. Every bottle, case and ice figure is rounded up, which is the right direction for an event you cannot restock midway.

The non-alcoholic row does not use the rate field you set — it is hardcoded at 0.75 drinks per non-drinking guest per hour — and the ice figure is per head with no term for event length or a hot afternoon. Nothing here models a cash bar, a plated dinner service, cocktails that draw on two spirits at once, or the well-known pattern of guests drinking faster in the first hour than the last.

How many bottles of wine do I need for 100 guests?

On the defaults — five hours, one drink per person per hour, 35 percent wine drinkers — that comes to 175 wine servings and 35 bottles, counting five glasses to a 750 ml bottle. The bottle count always rounds up, never down.

Do the drinker mix percentages have to total 100?

No. The four figures are normalised against their own sum before anything else happens, so entering 35, 35, 15 and 15 gives exactly the same result as entering 70, 70, 30 and 30. Only the ratios between them matter.

How much ice should I order for a reception?

The tool allows 1.25 lb per guest and rounds up, so 100 guests produces 125 lb. That figure is strictly per head — it carries no term for how long the event runs or how hot the day is, so add generously for a summer outdoor bar.

How many drinks does a 750 ml bottle of spirits pour?

Seventeen, which is the yield this calculator assumes and works out to roughly a 1.5 oz measure per drink. If your bartender pours heavy or serves doubles, the bottle count shown will run short, so buy above the figure given.

Are soft drinks for non-drinkers included?

Yes, as a separate row, but it applies its own fixed rate of 0.75 drinks per non-drinking guest per hour rather than the rate you entered. It also ignores the soft drinks and water that your drinking guests will want between rounds.
