Come funziona il calcolo

Base labour = hourly rate × estimated hours. The revisions buffer adds extra hours (rate × hours × buffer%). Expenses are added as a flat % of base labour. Profit margin is applied to the running subtotal (labour + revisions + expenses).

Final quote = (base + revisions + expenses) × (1 + profit%). Effective rate = quote ÷ estimated hours, so you can see what you're really earning per hour after buffers.

The calculator turns a billable hourly rate into a fixed-price quote through four stacked steps. Base labour is rate × estimated hours. The revisions buffer adds extra hours priced at the same rate, as hours × buffer% × rate. Expenses are a percentage of base labour only. Profit margin is then applied to the running subtotal, so the quote is (labour + revisions + expenses) × (1 + profit%). The table breaks out each line, and the headline effective rate is quote ÷ estimated hours.

Profit margin swings the number hardest, because it multiplies everything above it. The defaults are 15% revisions, 5% expenses and 20% profit on an 85 rate over 40 hours. The four preset buttons move all three together: Conservative sets 10/3/10, Standard 15/5/20, Aggressive 25/8/40 and Rush job 20/5/60. Set estimated hours realistically rather than best-case, as the help text urges, because every other figure is a percentage of it.

The currency selector only changes the symbol shown; there is no exchange-rate conversion, so choose the currency you will actually invoice in. The effective rate divides the quote by your original hours estimate, not by hours plus the revisions buffer, so if you genuinely burn all the buffer hours your real earnings per hour are lower than the figure displayed. Nothing here accounts for tax, payment processing fees, or scope creep beyond the buffer you set.

What revision buffer percentage is reasonable?

The field accepts 0 to 50%. The Conservative preset uses 10%, Standard 15%, Rush job 20% and Aggressive 25%. Higher buffers suit clients with many stakeholders or vague briefs; a tight, well-specified scope with a signed brief can sit at the lower end.

Should expenses be marked up with profit?

In this tool they are. Expenses get added to the subtotal before the profit margin multiplies it, so a 5% expense line carries your markup too. If you would rather pass costs through at cost, quote them separately on the invoice and set the expenses field to zero.

Why is my effective rate higher than my hourly rate?

Because the buffer, the expenses and the margin are all divided back over the same estimated hours. The figure shows what the quote is worth per planned hour, not per worked hour. Spend the buffer hours you priced in and the real number drops accordingly.

What does the Rush job preset actually change?

It sets a 20% revisions buffer, 5% expenses and a 60% profit margin, the highest markup of the four presets. It does not shorten a timeline or alter hours, so you still enter the hours the compressed schedule will genuinely take you.
